This Payment & Refund Policy (“Policy”) explains the payment, advance payment, part payment, cancellation, refund and related financial terms applicable to services provided by Xview Media (“Xview Media”, “we”, “us” or “our”).
This Policy should be read together with the Xview Media Terms & Conditions, Privacy Policy, applicable quotation, proposal, work order, service agreement, project agreement, invoice and any other written commercial terms applicable to a particular engagement.
Where a specific written agreement contains payment or refund terms that differ from this Policy, the specific written agreement will prevail to the extent applicable.

Xview Media provides technology, digital and business-support services, which may include:
- Website designing and development;
- Mobile application development;
- Software development;
- Website and application maintenance;
- Hosting and related services;
- Domain and SSL-related services;
- Digital marketing;
- Search Engine Optimisation (SEO);
- Online advertising;
- Social media and digital marketing;
- API and third-party integrations;
- Technical support;
- Consultancy; and
- Other technology and digital services.
2. Acceptance of Payment Terms
By:
- accepting a quotation or proposal;
- signing or accepting a service agreement;
- issuing a work order;
- approving a project through email or other electronic communication;
- making an advance or part payment;
- instructing Xview Media to commence work; or
- otherwise confirming the engagement,
the Client acknowledges and agrees to the applicable payment terms communicated by Xview Media.
This Policy forms part of the general commercial terms of Xview Media unless expressly replaced or modified by a specific written agreement.
3. Advance and Part Payments
Xview Media may require an advance payment, deposit or part payment before commencing a service or project.
The amount and payment schedule may vary depending on:
- Nature of the service;
- Project size;
- Estimated duration;
- Third-party expenses;
- Hosting, domain or software requirements;
- Development requirements;
- Procurement commitments;
- Advertising budget;
- Client-specific requirements; and
- Commercial terms agreed for the particular engagement.
An advance or part payment may be required before Xview Media allocates resources, purchases third-party services, reserves infrastructure, commences development or undertakes other project activities.
4. Payment Schedule
Payments may be structured as:
- 100% advance;
- Part advance and balance on completion;
- Milestone-based payments;
- Monthly payments;
- Recurring payments;
- Annual renewal payments;
- Subscription payments; or
- Any other schedule agreed in writing.
The applicable quotation, proposal, invoice, work order or agreement will specify the payment schedule where applicable.
5. Commencement of Work
Unless otherwise agreed, Xview Media may commence work after receiving the required advance or initial payment.
Payment may result in Xview Media:
- Allocating personnel;
- Scheduling resources;
- Starting design or development;
- Purchasing domains;
- Purchasing hosting or server resources;
- Purchasing software, licences or subscriptions;
- Engaging third-party service providers;
- Setting up accounts or infrastructure;
- Preparing content or technical materials;
- Starting advertising or marketing activities; or
- Incurring other project-related expenses.
Once such activities have commenced, the payment may no longer be fully refundable.
6. Nature of Advance Payment
An advance or part payment is generally treated as payment towards the agreed service, project, milestone, resource allocation, third-party commitment or other commercial obligation.
An advance payment is not automatically refundable merely because the Client subsequently decides not to continue with the project or service.
The refundability of an advance payment will depend on:
- Work already performed;
- Project stage;
- Resources allocated;
- Third-party commitments;
- Expenses incurred;
- Materials or licences purchased;
- Services already delivered;
- Cancellation circumstances;
- Applicable contractual terms; and
- Applicable law.
7. General Refund Position
Xview Media generally does not provide automatic refunds after a service, project or work order has been accepted and work or expenses have commenced.
However, this does not mean that every payment is permanently forfeited in every circumstance.
Where Xview Media determines that a refund is appropriate, the refund may be calculated after considering:
- Work already completed;
- Time and resources utilised;
- Design, development or consulting work performed;
- Project management and administrative work;
- Third-party service charges;
- Domain charges;
- Hosting or server charges;
- Software or licence charges;
- API or integration charges;
- Advertising or campaign expenses;
- Payment gateway or transaction charges;
- Bank or financial charges;
- Cancellation charges;
- Procurement expenses;
- Non-recoverable commitments;
- Taxes or statutory charges where applicable; and
- Other reasonable expenses actually incurred in connection with the service or project.
8. Refund May Be Granted at Xview Media’s Discretion
Subject to applicable law and contractual obligations, Xview Media may, at its discretion, approve:
- Full refund;
- Partial refund;
- Refund after deduction of applicable expenses and charges; or
- No refund.
The decision will depend on the circumstances of the particular engagement.
A refund granted in one project, transaction or instance does not create an obligation or precedent requiring Xview Media to provide the same refund in another project or transaction.
9. 100% Refund
Xview Media may provide a 100% refund of the amount received, without interest, where Xview Media determines that:
- No material work has commenced;
- No material project resources have been utilised;
- No non-refundable third-party expense has been incurred;
- No domain, hosting, software, licence or other commitment has been purchased;
- No advertising or marketing expenditure has been made;
- No other material expense or liability has been incurred; and
- Refund is commercially appropriate.
A 100% refund is not an automatic entitlement unless expressly provided in the applicable written agreement or required by applicable law.
10. Partial Refund
Where a refund is approved after work or expenses have commenced, Xview Media may calculate the refundable amount as:
Amount Received − Applicable Work/Service Charges − Third-Party Expenses − Other Reasonable Non-Recoverable Expenses − Applicable Charges = Refund Amount
The exact calculation may vary depending on the nature of the service.
Xview Media may provide a reasonable explanation or calculation of the deductions where appropriate.
11. Work Already Completed
No refund will ordinarily be made for work, services or deliverables that have already been completed or substantially performed.
This may include:
- Website design;
- Graphic design;
- UI/UX work;
- Development;
- Programming;
- Content creation;
- SEO work;
- Digital marketing work;
- Application development;
- Configuration;
- Consultation;
- Research;
- Testing;
- Technical support;
- Project management;
- Hosting setup;
- Domain registration;
- Third-party integration;
- API configuration; or
- Other services already provided.
Where a project is cancelled after partial completion, Xview Media may retain the amount reasonably attributable to the work and expenses already incurred.
12. Third-Party Services and Expenses
Xview Media may use or purchase third-party products and services for a Client’s project.
These may include:
- Domain registration;
- Web hosting;
- Cloud servers;
- SSL certificates;
- Premium themes;
- Plugins;
- Software licences;
- APIs;
- SMS services;
- WhatsApp/business messaging services;
- Email services;
- Advertising platforms;
- Stock images or media;
- Fonts;
- Payment gateway services;
- External development services;
- Security services; and
- Other third-party services.
Third-party charges may be non-refundable or subject to the terms of the relevant third-party provider.
Where Xview Media has already incurred such a cost on behalf of the Client, the amount may be deducted from any approved refund.
13. Domain Registration
Domain registration, renewal or transfer charges are generally subject to the policies of the relevant domain registrar.
Once a domain has been registered or renewed, the applicable domain-related amount may generally not be refundable by Xview Media.
Where a domain registration charge is refundable by the relevant registrar and Xview Media receives the refund, Xview Media may pass the applicable refundable amount to the Client after deduction of applicable charges, if any.
14. Hosting and Server Services
Hosting, server, cloud infrastructure and related charges may be:
- Monthly;
- Quarterly;
- Half-yearly;
- Annual; or
- Based on another agreed billing period.
Once hosting or server resources have been provisioned or paid for, refunds will depend on:
- The applicable service period;
- Whether the third-party provider permits a refund;
- Resources already consumed;
- Setup or migration work;
- Cancellation terms; and
- The applicable agreement.
Unused hosting time is not automatically refundable.
15. Software, Licences and Subscriptions
Amounts paid for software, plugins, themes, subscriptions, licences, APIs or other third-party products may be non-refundable once purchased or activated.
Where a third-party provider provides a refund, Xview Media may pass the refundable amount to the Client after deducting any applicable charges.
16. Advertising and Digital Marketing
Advertising and marketing budgets are separate from Xview Media’s professional or service fees unless expressly stated otherwise.
Amounts already spent or committed with advertising platforms or other third parties may not be refundable.
This may include:
- Google Ads;
- Meta Ads;
- Other advertising platforms;
- SMS campaigns;
- Email campaigns;
- WhatsApp campaigns;
- Lead-generation campaigns; and
- Other paid marketing activities.
Campaign results do not constitute a basis for automatic refund of advertising expenditure.
17. Payment Gateway and Transaction Charges
Where payments involve payment gateways, banks, wallets, card processors or other financial intermediaries, applicable transaction, processing or convenience charges may not be refundable to the extent they have actually been charged and are not recovered by Xview Media.
Where a payment gateway reverses or refunds its applicable charge, the corresponding amount may be considered in the refund calculation.
18. Taxes
Applicable taxes, including GST or other statutory charges, will be handled in accordance with applicable law.
Where a refund requires tax adjustment, credit-note issuance, reversal of tax liability or other statutory documentation, the refund may be processed subject to completion of the required formalities.
19. Cancellation by Client
A Client may request cancellation of a service or project by contacting Xview Media in writing.
Cancellation does not automatically entitle the Client to a full refund.
Upon receiving a cancellation request, Xview Media may determine:
- The amount of work already completed;
- The expenses already incurred;
- The third-party commitments already made;
- The amount payable for work performed;
- The amount, if any, eligible for refund; and
- Any other financial obligation arising from the engagement.
Cancellation will be effective subject to confirmation by Xview Media where such confirmation is required under the applicable agreement.
20. Cancellation After Project Commencement
If a Client cancels a project after work has commenced, Xview Media may retain or claim amounts corresponding to:
- Work already performed;
- Resources already utilised;
- Approved milestones;
- Third-party expenses;
- Non-refundable commitments;
- Procurement expenses;
- Project administration;
- Development or design work;
- Other services already provided; and
- Other reasonable expenses or contractual amounts applicable to the engagement.
Any remaining amount may be refunded where Xview Media determines that a refund is appropriate and subject to applicable law.
21. Cancellation Due to Client Delay or Non-Cooperation
A project may be delayed or suspended where the Client fails to provide:
- Required content;
- Approvals;
- Credentials;
- Access;
- Technical information;
- Feedback;
- Payments;
- Decisions; or
- Other information reasonably required for the project.
Such delay does not automatically create a right to refund.
Xview Media may reschedule, suspend or otherwise manage the project in accordance with the applicable Terms & Conditions or project agreement.
Additional costs caused by prolonged delay, rescheduling or repeated work may be chargeable where applicable.
22. Cancellation by Xview Media
Xview Media may suspend or terminate a service or project in circumstances permitted under the Terms & Conditions or applicable agreement, including circumstances such as:
- Non-payment;
- Material breach;
- Fraudulent activity;
- Illegal or prohibited use;
- Abuse or threatening behaviour;
- Repeated failure to cooperate;
- Security concerns;
- Misuse of services;
- Unreasonable demands outside the agreed scope;
- Third-party service failure;
- Force majeure; or
- Other circumstances permitted by applicable law.
Where Xview Media terminates a project for reasons not attributable to the Client and the Client has paid for services that Xview Media has not provided, Xview Media may, where appropriate, refund the unutilised portion after accounting for applicable work and expenses, subject to the specific agreement and applicable law.
23. Refunds for Service Issues
If the Client believes that a service has not been delivered in accordance with the agreed scope, the Client should first notify Xview Media and provide reasonable details of the issue.
Where appropriate, Xview Media may attempt to:
- Correct the issue;
- Provide a reasonable remedy;
- Complete pending work;
- Replace or rectify a defective deliverable;
- Provide a service adjustment; or
- Consider a partial or full refund where commercially and legally appropriate.
A refund will not necessarily be the first or only remedy for an alleged service issue.
24. No Refund for Change of Mind
Except where required by applicable law or expressly agreed otherwise, a Client’s change of mind, change of business plan, change of management, change of requirements or decision not to use a completed or substantially completed service does not automatically entitle the Client to a refund.
Where a Client requests cancellation because of a change in requirements, Xview Media may consider the request under the cancellation and refund provisions of this Policy.
25. No Refund for Third-Party Decisions
Xview Media is not responsible for refunds arising solely from decisions or actions of independent third-party platforms, including:
- Domain registrars;
- Hosting providers;
- Google;
- Meta;
- Apple App Store;
- Google Play;
- Payment gateways;
- Advertising platforms;
- SMS providers;
- WhatsApp;
- API providers;
- Social media platforms; or
- Other third-party service providers,
except to the extent Xview Media has separately agreed to assume such responsibility.
Where a third-party provider offers a refund, Xview Media may assist with the refund process where reasonably possible.
26. App Store and Platform Charges
For mobile applications or platform-dependent services, fees paid to:
- Google Play;
- Apple App Store;
- Other app stores;
- Developer programmes;
- Platform providers; or
- Other third parties
may be subject to the relevant platform’s own refund and cancellation policies.
Such charges are not automatically refundable by Xview Media.
27. No Interest on Refunds
Unless otherwise required by applicable law or expressly agreed in writing, no interest, compensation, penalty or additional amount will be payable by Xview Media on an approved refund.
The refund will generally be limited to the amount determined to be refundable under this Policy and the applicable agreement.
28. Refund Processing
Where a refund has been approved, Xview Media will generally process it through the original payment method where reasonably possible.
Depending on the payment method, banking system, payment gateway or financial institution, the actual crediting of the refund may take additional time.
Xview Media is not responsible for delays caused solely by banks, payment gateways, card networks or other financial intermediaries.
29. Refund Request
A refund request should preferably be submitted in writing and include:
- Client name;
- Invoice or payment reference;
- Project/service name;
- Date of payment;
- Amount paid;
- Reason for the refund request; and
- Relevant supporting information.

Submission of a refund request does not itself constitute approval of the refund.
30. Refund Assessment
Xview Media may review the following when assessing a refund:
- Applicable quotation;
- Proposal;
- Work order;
- Service agreement;
- Invoice;
- Payment records;
- Project status;
- Work completed;
- Deliverables provided;
- Time and resources used;
- Third-party expenses;
- Cancellation circumstances;
- Client communications;
- Previous approvals;
- Scope changes; and
- Other relevant circumstances.
The refund amount, if any, will be determined in accordance with the applicable agreement, this Policy and applicable law.
31. Disputed Payments and Chargebacks
If a Client has a concern regarding a payment, the Client should first contact Xview Media so that the matter can be reviewed.
Where a Client initiates an unauthorised chargeback or payment reversal without first raising the matter with Xview Media, Xview Media may provide relevant transaction records, invoices, communications, project records and other evidence to the relevant payment provider or financial institution.
This does not restrict any statutory rights available to the Client.
32. Outstanding Payments
A refund, if approved, does not automatically extinguish unrelated outstanding amounts owed by the Client.
Xview Media may set off an approved refund against:
- Outstanding invoices;
- Unpaid milestones;
- Third-party expenses;
- Hosting or domain dues;
- Other amounts lawfully payable by the Client; or
- Other financial obligations relating to the engagement,
to the extent permitted by applicable law and the relevant agreement.
33. Deliverables and Refunds
Where a refund is issued following cancellation or termination, Xview Media may determine whether completed or partially completed materials are to be:
- Delivered to the Client;
- Withheld until outstanding amounts are settled;
- Delivered in a limited form;
- Subject to applicable licence or intellectual-property terms; or
- Otherwise handled in accordance with the applicable project agreement.
Payment of a refund does not automatically transfer intellectual-property rights, source code, licences or ownership of materials unless expressly agreed.
34. Refunds and Intellectual Property
Where a Client has not completed the agreed payment obligations, Xview Media may retain ownership or control of its intellectual property, source code, reusable components, proprietary materials and other rights as provided in the applicable Terms & Conditions or agreement.
A refund does not automatically grant the Client ownership of work that Xview Media has not contractually agreed to transfer.
35. Promotional Offers
Special offers, discounts, promotional pricing, packages or introductory offers may have separate payment and refund conditions.
Unless expressly stated otherwise, promotional pricing does not create an automatic right to refund.
Where a discounted service is cancelled, the refund calculation may take into account the actual commercial terms and benefits provided under the promotional offer.
36. Free Services, Trials and Complimentary Work
Where Xview Media provides a free consultation, trial, demonstration, sample, complimentary service or other free work, no monetary refund is applicable to the free portion.
Any paid component associated with such an engagement will be governed by the applicable payment terms.
37. Force Majeure and External Events
Xview Media will not be responsible for refund obligations arising solely from delays, suspension or non-performance caused by circumstances beyond its reasonable control, except to the extent otherwise required by applicable law or expressly agreed in writing.
Such circumstances may include:
- Natural disasters;
- Government restrictions;
- Internet or telecommunications failures;
- Major cyber incidents;
- Cloud or hosting outages;
- Third-party platform failures;
- Strikes;
- War;
- Civil unrest;
- Regulatory changes;
- Infrastructure failures;
- Power failures; or
- Other events beyond reasonable control.
Where appropriate, Xview Media may provide a reasonable alternative remedy, reschedule services or consider a refund based on the circumstances and applicable agreement.
38. No Waiver by Previous Refund
If Xview Media provides a full or partial refund in a particular case, such refund is considered a resolution of that particular matter and does not establish a general policy requiring similar treatment in future cases.
Any discretionary refund is made without creating a continuing obligation or precedent.
39. Mandatory Legal Rights
Nothing in this Policy is intended to:
- Exclude a mandatory statutory right;
- Prevent a consumer from exercising a legal remedy that cannot lawfully be excluded;
- Waive any non-excludable legal protection; or
- Permit Xview Media to retain an amount where applicable law requires a refund.
Where applicable law provides a mandatory refund, cancellation, remedy or consumer protection, that requirement will prevail over this Policy.
40. Relationship with Terms & Conditions
This Policy forms part of the general commercial framework of Xview Media and should be read together with the Xview Media Terms & Conditions.
The Terms & Conditions address broader matters including:
- Scope of services;
- Project responsibilities;
- Change requests;
- Acceptance;
- Intellectual property;
- Third-party services;
- Hosting;
- Domain services;
- Maintenance;
- Termination;
- Liability;
- Indemnification;
- Dispute resolution; and
- Other contractual matters.
Where a project-specific agreement contains a different payment or refund provision, that provision will prevail for that particular engagement to the extent legally permitted.
41. Privacy and Payment Information
Payment-related information may be processed by Xview Media and/or relevant payment service providers for purposes including:
- Processing payments;
- Verifying transactions;
- Maintaining financial records;
- Issuing invoices;
- Processing refunds;
- Preventing fraud;
- Resolving disputes; and
- Complying with applicable legal requirements.
Personal data associated with payments will be handled in accordance with the Xview Media Privacy Policy.
Where payment is processed through a third-party payment gateway, the gateway may independently process certain information under its own terms and privacy policy.
42. Policy Updates
Xview Media may update this Payment & Refund Policy from time to time.
Updates may be made to reflect:
- Changes in our services;
- Changes in payment methods;
- Changes in third-party providers;
- Changes in business practices;
- Changes in applicable law; or
- Operational improvements.
The updated version will be published on this page with a revised “Last Updated” date.
Unless otherwise agreed or legally required, an updated Policy will apply prospectively to new engagements and will not automatically alter an existing written agreement.
